Freebie: Stop Spam & Manage Your Email with Mailwasher

By Alice Seba On February 29, 2008

Freebie FridayI actually shared this tool recently in my FAQ on How do you manage your email, but wanted to bring it back and give you more details on how Mailwasher is an incredible time and sanity saving tool .

From the Sweetie FAQ:

This great piece of desktop software helps you quickly sort your email with minimal fuss. It allows you to preview the email on your server, WITHOUT ever having to download unwanted messages to your computer. You can create blacklists, friends lists, etc…allowing you to sort your email in a flash.

I’ve been using the Pro version of Mailwasher for several years and wouldn’t have it any other way. I also always get my virtual assistants using it because I know it saves tons of time. Once they try it, they’re hooked and use it for all their clients.

You can download a free version and use it for as long as you want. The only catch is that it only works for one email address. If you want to use it for more than one email address, you’ve got to cough up a bit of cash, but it’s well worth it.”

I think words can’t do this tool justice and when I see people complain about spam, I can’t seem to express how it works and how much time it saves. So, I thought I’d give you a visual rundown of this handy software.

I open up the software and it checks all my emails. Hundreds of emails are previewed in the software within seconds and you can view the full text (no html for your protection) of any email in the preview pane at the bottom. Here’s an idea of what it looks like (I’ve removed the “from” field in the software for privacy reasons):

Mailwasher Screenshot

You’ll notice that some email senders are marked as “friend”, “blacklisted” and “origin blacklisted by spamcop”. The “friend” and “blacklisted” are set by me and that info is stored by Mailwasher. The “origin blacklisted by spamcop” is through the Spamcop database. Now, I don’t necessarily think Spamcop is the greatest thing, but I have to say these results prove to be quite accurate for my email.

Once email is loaded into the software (again it’s fast), you can easily sort by Date, Status, From…or whatever you want. In the example below, I’ve simply clicked the word “Sent” and it sorts by sent date. You can click any of the titles in the tabs at the top and sort according to that. Often, I sort by “Status” to put all the blacklisted senders to the bottom.

Sort Mailwasher

To update the status of any user, simply right click on the email in question. A pop-up will appear allowing you to add the specific email address to the blacklist or the whole domain to the blacklist. Or you put the specific address or the whole domain on your friends list.

Changing Status in Mailwasher

To get your email ready for processing, you can go through each email and click the delete box to the far left (blacklisted emails are automatically set to delete) or if you have a lot of emails to delete, it might save more time to just choose the option of “Mark All Emails for Deletion” as shown below. I use this feature a lot, so I can just get rid of email that is FYI-type stuff and doesn’t require any action on my part. It keeps my Outlook inbox really (err…well pretty) clean:

Mailwasher Mark All for Deletion

Then, if you use that feature, you simply uncheck the emails you want to keep.

Once the you’ve marked all the emails that need to be deleted from your server (Remember – NOTHING has been downloaded to your computer, you’re just quickly previewing email off the server), you can process it. Just click “Process” and all the emails for deletion will be removed from your server.

Once the email has been deleted, you can open up your usual email program or have Mailwasher automatically open it for you and download the email you ACTUALLY want.

Voila!

There are other features you might want to explore, but that’s the basics. If looking at this process, it seems cumbersome to you – I promise it’s not. This process is quick and it’s a snap.

Again, you can download it free (for one email address) or pay the $39.95 for the Pro version (more than well worth it).

Three Thoughts On Why You Needn’t Worry about the A-List

By Alice Seba On February 28, 2008

Thursday's Three ThoughtsRecently, I noticed an interesting post from Andy Beard about TrafficJam. Now it wasn’t his discussion of TrafficJam that really got me thinking (although he does make some astute observations on it), it was what he wrote lower down on the page.

He was talking about how it was refreshing to see a variety of blogs posts from all kinds of bloggers who aren’t necessarily well-known, but had some great content to share.

Then he wrote:

“Well not quite everyone is an unknown, there is a post from the Income.com blog on the list, as well as from Alice Seba, and one from Lynn Terry @ Clicknewzthey probably have more paying customers than many A-list bloggers have subscribers .”

I’m sorry, but the reality of that statement tickled me pink and the truth of it was pretty eye-opening.

Sometimes, we feel like Blogging is a big popularity contest…but you know what? I’m a “for profit Blogger” and it’s my bottom-line results that matter. I may not have 123 people comment on each of my blog posts and my RSS subscribers are still in the triple digits, but the financial result of having this blog has been incredibly rewarding…not mention hobnobbing with my modest fan club here is a lot of fun. :-)

So, if you’re looking at those ultra-popular blogs and feeling a little low because of it, cut it out!

The Blogging Beauty QueenHere are 3 thoughts to take with you:

1. If you created a blog for marketing business, you are not in a popularity contest or any type of pageant. You needn’t parade around in your swimsuit to impress us because you don’t need to. You know what the results of your blogging and if it’s working for your business, that’s what matters.

2. To have a loyal fan/customer base, you don’t need a gazillion people to think you’re the greatest. As I wrote in the short report I posted earlier:

“Let’s be realistic. To be an ‘expert’ doesn’t mean you have to know more than anyone else in the world on the subject. It just means that you know enough that your target audience comes to you for your perspective. It’s that simple.”

All you want is a highly-targeted group that loves your work and buys your stuff.

3. Keep improving your results. Maybe right now you don’t feel like you’re on the A-List or even the Z-list, but that’s okay. Focus on serving your market, delivering them the products and services they’re looking for and tweaking along the way – you’ll get there.

And by the way, if you want to get there a little faster, make sure you’re on the notification list for mine and Lynette’s Blogging Bootcamp. Registration starts on Monday…and we’d love give you a boot-kickin’ to get things rolling! :-)

“Blogger Won’t Let Me Schedule Posts!” – Or Will It?

By Alice Seba On February 27, 2008

Wednesday Words from YouLast week, when I wrote my 3 thoughts on When You Just Don’t Feel Like It one of my readers Chicken Soup for the Social commented:

“Great list. I often don’t feel like blogging but sometimes you have to. Since blogger.com won’t let me post in advance I usually have to make time.”

Although I have to admit that one of the deciding factors for my switching to WordPress was the ability to easily schedule posts. It makes it easy to write something now and forget about it…so you blog when you feel like it. Of course, you can also pre-write entries for Blogger and then publish them later, but it kind of takes away the spontaneity.

But that’s no longer necessary…
If you want to actually schedule posts in Blogger it CAN now be done.

Blogger has recently introduced “Blogger in Draft” which requires you to log in at http://draft.blogger.com and from there you can schedule your posts. Here’s how it works:

1. Remember to log in at: http://draft.blogger.com

2. Write your post as usual. At the bottom, click post options as shown below:

Blogger Post Options

2. Change the date and time to reflect when you want your post to be scheduled:

Edit Date in Blogger

3. Click “Publish Post”:

Publish Post Blogger

4. You’ll then see a message like this that says your scheduling was a success:

Publishing Notice Blogger

Tada! Great news for Blogger users.

What Do You Wish You Knew Way Back Then?

By Alice Seba On February 25, 2008
Alice Seba

Tough Question TuesdayArika Liddiard has sent me a question just in time for Tough Question Tuesday…so to honor her request, I’m answering her question and then asking you to do the same. Wanna play?

Arika asks:

“What one thing, that you know now, do you wish you had known when you first started working from home that would have made things easier for you?”

What I Wish I Knew: I am more productive and focused when I limit my work time.

Why: When I first started working online, I was on the darned computer a LOT. At first, when I didn’t know what I was doing at all, I was always hunting for that magical answer, surfing from forum to forum, following links, Google searches. Boy, that was distracting and exhausting.

Even when it started to click for me, I still had this mistaken idea that I had to put in a lot of hours to ensure the profitability of my business. Instead, I ended up wasting a lot of time on the computer, starting projects I should have thought through first and I was still distracted and exhausted.

Eventually, I figured out that I needed to limit my time at the computer and to have a focused plan each time I pushed that power button. The result – productive and profitable work being done…and I’m no longer so distracted (never say never!) or exhausted.

So what about you? What’s the one thing you wish you knew?
